Process
A comprehensive, straightforward process managed by experts, helping you every step of the way.
We’ll work with you to identify your strategic procurement needs and then design innovative procurement approaches to deliver the best possible outcomes…be that cost benefits, resource efficiencies, process efficiencies or whole-life cost advantages.
We’ll then meet with you to understand how you want the project delivered and make sure we work together to develop a clear and unambiguous specification which achieves this.
The tender will be launched on our procurement e-portal system – Pro Contract - so all appropriate framework supply chain partners are made aware of the opportunity and can start work on their submissions.
The full tender process will be managed by the Prosper team on your behalf. This includes dealing with all clarifications in the first instance, compiling thorough robust commercial tender evaluations and providing partners with easy to complete and assess quality evaluation summaries. We may manage the process, but you’ll be in full control of the decision making process.
Once the work is agreed, we’ll organise a project pre-start meeting where all partners who are part of the delivery of the project are invited to meet. We identify each partner’s role, agree timescales and ensure everyone knows their role in exceeding expectations.
We work with all partners to ensure the project is delivered effectively through supportive contract management. We’ll call all partners monthly to ensure the project is being delivered on-time and to identify any disputes or issues that need solving to keep the focus on excellent delivery.
Each quarter, review meetings will be held with you to review spend and performance of each contract against budgets and KPIs. Assessment of framework supply chain partner performance will also be undertaken to ensure on-going quality and value are achieved.
Our bi-annual Procurement Solutions Group gives all member partners the opportunity to meet and discuss issues of the day, experiences and best practice.
Each year, an annual performance report will be produced aimed at helping to inform Value for Money statements.
We’ll work with our member and supply chain partner to ensure the project is fully complete from all perspectives making sure nothing is missed or forgotten about.
We’re always working to make things as good as they can be, so it would be a missed opportunity if we didn’t review the project from beginning to end to see what worked well so we can do it again and work to improve those things that might not have been quite as good as we hoped.
